1. Who we are and our role
Heavenly Farewells is the data controller for personal data processed through ObituaryAI. If you have questions about this policy or your data, contact us via the Contact page.
2. Personal data we collect
- Account data: name, email address, password (hashed), and authentication identifiers (e.g. Google sign-in ID).
- Content you provide: obituary intake answers, photos, draft text, and other content you enter into the service.
- Transaction data: records of purchases and subscriptions (plan, amount, status, invoice ID). Payment card details are collected and processed by Paddle, not by us.
- Support communications: messages you send us.
- Usage and device data: IP address, browser type, pages viewed, and approximate location, collected via standard server logs and cookies.
3. How and why we use your data
- To create and operate your account (legal basis: contract).
- To provide the writing assistant, generate drafts, store your projects, and deliver downloads (contract).
- To process payments, subscriptions, refunds, invoicing, and tax compliance through Paddle (contract and legal obligation).
- To secure the service, prevent fraud and abuse, and keep records (legitimate interests and legal obligation).
- To respond to support requests (contract / legitimate interests).
- To improve the product through aggregated analytics (legitimate interests).
- To send service-related emails, and—only with your consent—occasional product updates (consent).
4. Sensitive information
Please do not enter Social Security numbers, banking information, private medical records, passwords, or other highly sensitive personal data into the intake form. ObituaryAI is not designed to process such data.
5. Who we share data with
- Paddle.com Market Limited — our Merchant of Record for all orders. Paddle handles checkout, payment processing, subscription management, tax compliance, invoicing, and customer service for orders and returns.
- Hosting and infrastructure providers — for hosting the application, database, and storage.
- AI model providers — for generating draft text from the prompts you submit.
- Analytics and error monitoring providers — to keep the service reliable.
- Professional advisers (legal, accounting) and authorities where required by law.
We do not sell your personal data. Some providers may process data outside your country; where applicable we rely on Standard Contractual Clauses or adequacy decisions.
6. Data retention
We keep account and project data for as long as your account is active. Transaction records are retained for up to 7 years to meet tax and accounting obligations. Support messages are retained for up to 3 years. You can request deletion of your drafts and account at any time; we will delete or anonymize data that we are not legally required to keep.
7. Your rights
Depending on where you live, you may have the right to access, correct, delete, restrict, or object to processing of your personal data, the right to data portability, and the right to withdraw consent. 8. Security
We use appropriate technical and organisational measures including encryption in transit, access controls, hashed credentials, and row-level security in our database. No system is perfectly secure, but we work to protect your information.

10. Children
ObituaryAI is not directed to children under 16 and we do not knowingly collect their personal data.
